Sharing Reports
Share a report with organization members as editors or viewers, or duplicate it as a private copy.
A report is private to its creator until the creator or an editor shares it. You can share reports only with members of the same organization.
Share a Report
- Open the report menu.
- Select Share.
- Under Add people…, search for an organization member by name.
- Select the member. Blue adds the person as a Viewer.
- Keep Viewer, or change the role to Editor.
6. Select Save. The report appears in that member’s Reports list.
Report Roles
- Editor: Can view the report and change its saved data sources, filters, columns, summaries, and sharing settings. An editor cannot delete the report.
- Viewer: Can view the report and apply temporary filters. A viewer cannot change the saved configuration.
Editors and viewers can export the report and duplicate it.
Change or Remove Access
- Open the report’s Share dialog.
- Select a person’s role to switch between Viewer and Editor.
- To revoke access, select Remove user next to the person.
- Select Save.
Ownership
The person who creates a report owns it. Only the owner can delete the report.
Sharing does not transfer ownership. To create an independently owned version, duplicate the report.
Duplicate a Report
An owner, editor, or viewer can create a private copy:
- Open the report menu.
- Select Duplicate.
- Enter a title for the copy.
- Confirm the duplication.
The person who duplicates the report owns the copy. Blue copies its description, configuration, and data sources, but not its sharing settings.
External Sharing
Reports do not support public links or direct sharing outside the organization. Export the report if an external recipient needs its data.
