Data Quality

Review how complete, current, and duplicate-free a database's records are, then open the records behind any number.

A Data Quality report measures one database’s records: which fields are empty, how long since each record changed, and which records share a value that should be unique. Blue generates the report — you do not configure charts or columns.

Data Quality requires Pro or Enterprise.

Create a Data Quality report

  1. Select Analytics in the organization sidebar.
  2. Select New, then select Data Quality under System.
  3. Choose the workspace, then the database to measure.

One Data Quality report exists per database. Selecting a database that already has one opens the existing report.

To create a report you must be an owner or administrator of the workspace, or an owner or administrator of the organization.

Summary

The report opens with five values for the records currently in scope:

  • Records: How many records the report covers.
  • Fill rate: Filled cells divided by fields multiplied by records, across the fields counted in Completeness.
  • Median age: The median number of days since a record last changed.
  • Stale 90d+: Records with no change for 90 days or more. Select this value to open them.
  • Duplicates: How many duplicate groups the report found.

Last updated

Records are placed into buckets by their time since the last change: 0–7, 7–14, 14–30, 30–60, 60–90, and 90+ days.

Completeness

One row per field, sorted worst first, showing the percentage of records that have a value.

Completeness counts mounted database fields a person fills in: text, select, multiple select, rating, phone, number, currency, percent, email, URL, location, file, country, date, reference, assignee, and table fields. Computed fields such as formula and rollup are not counted, because there is no gap for a person to fill.

A number field counts as empty only when it has no value. A stored 0 counts as filled.

Duplicates

Records that share the same value in the same field, for email, URL, phone, and single line text fields. Blue ignores letter case and surrounding spaces when it compares values.

Expand a field to see its duplicate groups and how many records each group contains.

Group the results

Use Group by above Last updated or Completeness to split the numbers into columns by status or a groupable database field. Each section is grouped separately.

When you group by a field that holds several values, a record is counted once in each matching column, so the columns can total more than All.

Blue shows the 50 largest groups and folds the rest into an Other column.

Open the records behind a number

Select any count or percentage to open that database’s records view, filtered to exactly those records. Blue applies the report’s own filter as well.

Filter the report

Use Filter in the report header to limit the records the report measures. Every section and every click-through respects the filter.

The report only ever counts records you can see. Records your role hides, and fields your role hides, are left out before Blue counts anything.

Refresh

Blue caches a computed report for five minutes. Select Refresh in the header to recompute it. The header shows when the current numbers were computed.

Share a Data Quality report

Select the share icon on the report’s row in the Analytics list. Assign each person Viewer or Editor.
