Sidebar Folders

Organize workspaces in shared sidebar folders and control who can manage the folder structure.

How It Works

When an authorized user creates, renames, reorders, or deletes a folder, Blue applies the change for every organization member.

Sidebar folders exist at the organization level. File folders exist inside a workspace and organize files instead.

Create a Folder

Only Organization Administrators and users with the Folder Manager permission can create folders.

  1. Find the Projects section header in the left sidebar.
  2. Select +.
  3. Select Create Folder.
  4. Enter a folder name.
  5. Press Enter. Blue adds the folder for everyone in the organization.

Drag workspaces into the new folder to organize them.

Move Workspaces into Folders

Workspace Administrators can drag their workspaces into or out of folders. They do not need the Folder Manager permission.

Regular members, Clients, and View-only users cannot move workspaces between folders.

Rename or Color a Folder

  1. Right-click the folder in the sidebar.
  2. Select the option to rename the folder or change its color.

Only users with folder management permission see these options.

Add Users to Folder Workspaces

You can invite users to multiple workspaces in a folder at the same time.

  1. Right-click a folder in the sidebar.
  2. Select Add Users from the context menu.
  3. Choose a role, such as Admin, Team Member, or Client.
  4. Enter one or more email addresses. Blue suggests existing organization members.
  5. Review the workspaces in the folder. Blue disables ineligible workspaces and shows an explanation.
  6. Confirm the invitations. Blue sends them for the eligible workspaces.

Delete a Folder

When you delete a folder, Blue moves its workspaces to the root level of the sidebar. Blue does not delete workspace data.

Folder Visibility

Blue controls folder visibility from each user’s workspace access:

Regular members see only folders that contain a workspace they can access. Organization Administrators and Folder Managers also see inaccessible and empty folders.

Organization Administrators always have folder management permission. You cannot remove this permission from them.

Folder Managers

Organization Administrators can grant the Folder Manager permission to specific team members. Folder Managers receive the folder capabilities in the table but no other administrative privileges.

Use either location to manage Folder Managers.

From the Sidebar

  1. In the Projects section header, select the settings icon. Only Organization Administrators can see it.
  2. Find the organization member in the popover.
  3. Turn the member’s switch on or off to grant or revoke the permission.

From Organization Settings

  1. Open Settings > Team Members.
  2. Find the member in the Folder Manager column.
  3. Turn the switch on or off to grant or revoke the permission.

Organization Administrators have an Owner badge instead of a switch because their folder management permission is always active.

Organization Examples

  • Department: Group workspaces in folders such as Engineering, Design, Marketing, and Finance.
  • Client: Create one folder for each client’s workspaces.
  • Status: Group workspaces in folders such as Active Projects and On Hold.
  • Region: Group workspaces by office or region.
