Introduction

Learn how records store work and information in lists, fields, comments, files, and automations.


Records are the main items that you track in a Blue workspace. Each record can contain dates, assignees, tags, checklists, files, comments, and custom fields.

Use records for two main purposes:

  • Track work: Store the status and details of a work item, sales deal, support request, or other process item.
  • Organize information: Put records in lists that represent categories or process stages, such as “Open Leads” and “Closed Deals.”

Record features

  • Lists categorize records or represent stages such as “To Do,” “In Progress,” and “Completed.”
  • Custom Fields store values such as dropdown selections, numbers, and dates. For example, add a “Lead Score” number field.
  • Tags label records with categories such as “Urgent” or “Bug.”
  • Comments keep discussions and threaded replies on the record.
  • Attachments store files, images, and videos on the record.
  • Automations respond when records are created, changed, or deleted. For example, send an email when Blue creates a high-priority record.
  • Dependencies define the order in which linked records must be completed.
  • Cover Images show previews from descriptions, comments, or custom fields on record cards.
  • Reminders send personal notifications at a scheduled time.
  • Colors identify urgency or group records for content planning.

Example workflows

Work management

Create a record for each work item. Add assignees, due dates, and attachments, then move records through lists such as “Backlog,” “In Progress,” and “Live.”

Sales pipeline

Create a record for each lead or opportunity. Store the deal value, lead score, and next step in custom fields.

Move records between lists such as “Open Deals” and “Closed Won” as their status changes.

Support requests

Create a record for each customer issue. Assign a member, ask questions in comments, and store the status in a custom field.

Use tags such as “Bug” and “Question” to categorize requests.

Recruitment

Create a record for each candidate and store application details in custom fields. Move records through “Applied,” “Phone Screen,” and “Final Round.”

Use an email automation to notify a candidate when their record moves to another list.
