Lists

Organize records into categories or process stages, and lock lists to prevent structural changes.


Lists organize records within a workspace. Use them as categories or as stages in a process.

Each list can contain up to 100,000 records. A workspace can contain up to 50 lists.

Create and manage lists

Name each list for its contents or its process stage. You can add records, rearrange them, and change list properties as the workflow changes.

Use lists as categories

Create separate lists for groups such as customer interaction types or product categories. Put each record in the list that matches its category.

If you need more than 50 categories, use tags, a single-select field, or a multiple-select field.

Use lists as process stages

Create a list for each process stage, such as “To Do,” “In Progress,” and “Completed.” Move records between lists as their status changes.

Lock a list

Lock a list to prevent structural changes to the list and movement of its records.

  1. Open the menu next to the list name.
  2. Select Lock. Blue adds a lock icon after the list name.

Locking prevents these actions:

  • Rename: You cannot change the list name.
  • Bulk actions: You cannot use actions such as Complete All, Assign All, or bulk tagging.
  • Move records: You cannot move records into or out of the list.
  • Create records: You cannot add new records directly to the list.
  • Delete: You cannot delete the list.
