Value Set At and Value Set By
Record when a select field is set to a specific value, and who set it. For example, record when each record reached Done.
Value Set At and Value Set By fields record a change to a select field. Blue fills them in when a record gets a specific option:
- Value Set At stores the date and time of the change.
- Value Set By stores the person who made the change.
For example, add a Value Set At field named “Completed at” that tracks the Done option of a Status field. Blue then records the time when each record moves to Done.
Create a value tracking field
- Open Field Management for the database. See Open Field Management.
- Select Add Field.
- Enter a Field name, such as “Completed at” or “Approved by”.
- In Type, select Value Set At or Value Set By.
- In When this field, select a Select (single) or Select (multi) field of the database.
- In Is set to this value, select the option to track.
- Select Create.
You cannot change the tracked field or option after you create the field. To track a different option, create another field.
Behavior
- Blue fills in the field each time a record gets the tracked option. If the record gets the option again later, Blue replaces the value with the latest change.
- The value stays when the record later gets a different option. For example, “Completed at” keeps its value if you move the record from Done back to In Progress.
- Users cannot edit the value. Blue changes it only when the tracked option is set.
- Records that had the option before you created the field stay empty until the option is set again.
