Assignee
Add people fields to records, such as an owner, reviewer, or approver, and limit who can be selected.
The Assignee field stores one or more people on a record. The Assignee default field is an Assignee field. See Assignees.
You can add more Assignee fields to a database for other roles. For example, create separate fields for a Reviewer, Approver, Account Manager, or Inspector. You can then filter, sort, group, and automate each role separately.
Configure an Assignee field
Configure each Assignee field with these options:
- Allow multiple assignees: Turn on to accept more than one person. Turn off for a single approver or lead. This option is on by default.
- Who can be assigned: Limit the choices to Specific users, Members of these roles, or both. Leave both empty to allow anyone in the workspace.
- Notify when someone is assigned: Blue sends the same push notification and email as for the default Assignee field. This option is on by default.
For example, restrict a “Senior Reviewer” field to one role or to a selected group of people.
Use Assignee field data
- A record appears in My Items for each person in any of its Assignee fields.
- Filter records by the people in the field.
- Sort records by the field. Blue sorts by the first name of the first person.
- Group records by the field in the Board, Table, and Timeline views.
- Trigger automations, such as sending an email when an Approver is set.
- Collect Assignee values with forms.
